Summary
Our people are our greatest asset. This newly created central role will have responsibility for all HR-related activities across the business alongside management of the FRAMELESS Creative office space. The workforce includes a Front-of-House cohort consisting of casuals and zero hours team through to full and part time employees. Establishing and implementing a best practice approach to HR-related business policies, this person will be the designated HR contact point for all employees. Working with line managers, they will be responsible for the management of the PDP and annual reviews process, including any disciplinary procedures and acting as the link person for any external HR specialist agency or legal support that may be needed. Company recruitment and management of onboarding to ensure we are compliant with UK employment law is also part of the role.
Main Duties - Policies
- Ongoing review and updating of all existing FRAMELESS’ HR company policies, recommending to senior management where they should be updated.
- Identify and create new HR policies where they are needed, ensuring that they are compliant with UK Employment Law and that they reflect a best practice approach and are appropriate for the needs of a diverse workforce.
- Ensure that all HR policies are communicated consistently across all business entities within the Group.
Main Duties – Day-to-day HR support
- Be the company-wide point of contact for the whole workforce for any HR related discussions including career progression, work-related personal matters and grievances.
- Manage day-to-day HR related enquiries on areas such as holiday entitlement, sickness, maternity and general career progression.
- Liaise with payroll team on any employee related payroll queries.
- Support the team with any disciplinary-related issues, providing HR expertise where needed and leading where necessary eg redundancy, dismissals. Responsible for the involvement of any external specialist HR or legal support when appropriate.
- Ensure comprehensive job descriptions are securely filed for all roles within the business.
Main Duties – Appraisals, PDP and Annual Reviews
- Administer and record the quarterly PDP and annual review system, ensuring that all departments undertake actions within the required timeframe. Flag any consequent issues to senior management where appropriate and support departmental heads as needed.
- Provide senior management with performance-related information requests in relation to annual salary reviews.
Main Duties – Recruitment
- Work with the Senior Management Team to create job descriptions for any new roles.
- Designated person responsible for the management of any external recruitment resource for temporary or full-time personnel
- Oversee the recruitment process from start to finish, including interviewing, contracting, onboarding (including Right-To-Work and reference-checking) and induction into the business, liaising with the relevant department or individual within the business
- Responsible for probation period monitoring and notification of outcome as appropriate.
- Point of contact for any intern opportunities
- Management of the careers@frameless.com inbox, keeping individuals updated and enquiries logged.
Main Duties – Office Management
- Point of contact with the FRAMELESS Creative office owners on all day-to-day matters.
- Issue business unit-specific and company-wide internal communications, working with the Senior Management Team as appropriate, regarding content and approvals.
- Coordinate office socials.
Main Duties – Other
- Implementation (if required) and day-to-day management of any HR based company systems, ensuring that all information is stored securely and is GDPR compliant.
- Responsible for HR-related admin associated with Payroll system
- Management of HR email inbox.
- Ensure that any freelancers and consultants working in the business have signed agreements which are filed securely.
- If required, support the Senior Management Team in relation to any restructuring of the business.
- Ensure that all materials or official communications follow the FRAMELESS brand guidelines.
Experience:
Minimum of 7 years of experience working in a similar role(s)
Qualifications / Pre-requisites:
- Broad HR experience and knowledge of a best practice approach on people-related matters.
- A discrete individual who is comfortable working with confidential and sensitive information.
- As the first FRAMELESS point of contact for new recruits, be an excellent brand ambassador.
- Well organised with the ability to juggle conflicting priorities and multitask in a fast-paced environment.
- Able to work collaboratively with internal and external stakeholders.
- Strong communication skills with excellent diplomacy.
