Job Description

This is an amazing opportunity to join an independent, global firm with a very non-hierarchical and collaborative team culture as Executive Assistant and Office Manager. The team of 45 in London are international, relaxed, passionate and friendly.

This is a busy role providing support to the CHRO as well as lighter touch support to COO, CFO and General Counsel. The work is fast paced and varied, you will be expected to take ownership of the CHRO’s busy diary and frequent international travel arrangements. The role will suit an Executive Assistant with an organised, proactive and personable approach to ensure consistent co-ordination on a global level. Working closely with another Executive Assistant you will also coordinate team and client events and oversee the day to day running of the office Candidates with some HR exposure and a background in Investment Banking, Private Equity, Management Consultancy or Legal are desirable.

Duties;

  • Full support to CHRO and COO with light touch support to CFO, and General Counsel
  • International travel coordination, prepare itineraries/travel packs, meeting set up across international time zones
  • Work closely with the CHRO: attend meetings to capture action points, prepare PP presentations, draft emails and ad hoc personal support
  • Board Meeting Coordination: Schedule and organise Board meetings, including logistical setup for in-person meetings
  • Liaising with various internal and external stakeholders on a variety of projects
  • Office Management - overseeing and delegating the day to day running of the office, authorising office invoices, liaising with building management team and onboarding new starters
  • Events coordination - team socials for employees and arranging client events for the C suite

The ideal candidate will have;

  • Experience as an Executive Assistant supporting at Exec level within a professional services or finance environment
  • Exposure to/appreciation of HR processes desirable
  • Strong organisational and communication skills with the ability to multitask
  • Excellent interpersonal skills, including the ability to interact with a wide range of stakeholders
  • Able to maintain a high level of integrity and discretion in handling confidential information
  • Collaborative, consultative team player with enthusiasm, passion and drive
  • Strong MS Office skills
